eGlobalfares assists travel management companies in providing their customers with significant travel savings. This Privacy Statement is meant to explain how eGlobalfares handles personal information and the choices individuals can make about how their personal information is collected and used. eGlobalfares is committed to providing this information in a way that is transparent and easy to understand. Scope

This General Privacy Statement relates to information collected by eGlobalfares (also referred to in this Privacy Statement as “we” or “us” or “our”) through your use of this website or any software or services provided by us, or through direct contact with us. This Privacy Statement is provided to explain our information practices and the choices you can make about the way your information is collected and used when it is obtained through our website, through use of our services, when obtained via email or other electronic communication, or gathered as part of our sales, marketing or support activities (collectively referred to as “Information Services”).

Other policies or governing arrangements may also apply concerning your data rights. These include:

  2. Internal employment policies which govern the handling of job applicant information and personnel records; or

Definitions

“You” or “your” refers to the individual who uses this website or our services, or directly contacts us.

Our “customers” are companies, or individuals acting on behalf of a company, that contract with eGlobalfares for the provision of Information Services.

“End users” (also referred to as “travelers”) are individuals who use services provided by our customers. An end user will typically interact with eGlobalfares through one of our customers.

The terms “using” and “processing” information include subjecting the information to statistical or other analysis and using or handling information in any way, including, but not limited to collecting, storing, evaluating, modifying, deleting, using, combining, disclosing and transferring information within our organization.

“Personal information” is any information that can be used to identify an individual, whether associated with a customer or a traveler, and may include things such as your name, physical address, email address, phone number, login information, marketing preferences, company affiliation, or payment card information. Personal information can also include information that does not identify you, but could be combined with other information in a way that enables you to be identified. This may include information such as age, gender, profession, zip code, IP address, or current location.

“Employee Data” or “Employment Data” means information collected in connection with your employment or application for employment, including but not limited to your name, date of birth, government issued identification (passport, social security number, driver’s license number), banking information, marital status, health information, benefit information, title, employment history, education, job qualifications, and other relevant employee personal information, and information about dependents for health benefits.

Overview of the Sources of Personal Data

eGlobalfares may obtain personal information from you in these ways:

  • when you contact us directly (by emails or calls) to inquire about our products, services, or pricing,
  • when you use our Information Services,
  • when you engage with our support staff,
  • when you are a service provider to eGlobalfares, and
  • through the eGlobalfares employment or recruiting process.

Information Collected

The information we collect from you generally depends on your relationship with eGlobalfares. If you work for or apply for a job with eGlobalfares, we will collect Employee Data from you and other personal information necessary, as described in the Personnel & Applicants section below. If you are an end user or traveler, we may collect information necessary to process your travel requests on behalf of our customers.

eGlobalfares may also collect personal information from trusted third-party sources and engage third parties to collect personal information to assist us.

How Information Is Used and Our Legal Basis for Processing

eGlobalfares may use your personal information for operational, legal, administrative, and other purposes permitted by applicable law. In general, we use the information collected to operate and administer the Information Services, for internal operations such as operating and improving the eGlobalfares website and our customer service functions, and to facilitate the delivery of eGlobalfares advertising in some cases, including using your email to send information to you about our services.

If you identify yourself to us by sending us an email with questions or comments, we may use your information (including personal information) to respond to your questions or comments, and we may file your questions or comments (with your information) for future reference. We may also use the information collected to send announcements and updates regarding eGlobalfares services. We may also use the information gathered to perform statistical analysis of user behavior or to evaluate and improve the eGlobalfares Information Services.

  • Providing you or someone acting on your behalf with requested products or services,
  • Supporting your use of our products and services,
  • Providing you with information regarding our products and services,

Personnel & Applicants

If you are an eGlobalfares employee or applicant, we collect information you voluntarily provide to us. We use the information collected for Human Resources purposes, such as to administer benefits to workers and screen applicants. Specifically, if you submit an application for employment to or are currently an employee of eGlobalfares, eGlobalfares will collect information in any form it obtains through your application for employment or continued employment with eGlobalfares, and your submission of employee related documents, including but not limited to Employee Data. By providing personal information about family members or other individuals, you represent that you have their consent to provide this information to us for the purposes set forth in this Privacy Statement.

eGlobalfares may use Employee Data to evaluate applications for employment and manage aspects of the employee-employer relationship.

Right to Access, Correct, and Restrict Use of Personal Information

We strive to make sure that our information is reliable, accurate, and up-to-date. You may access personal information that is held by eGlobalfares as permitted by law to ensure that it is accurate.

Upon request made to the contact listed below, we will provide you with reasonable access to the personal information we collect about you.

You may also limit the use and disclosure of your information by either unsubscribing from marketing communications by contacting us at admin@eglobalfares.com.

Please note that we may have an ongoing legal or business need to retain your information, even after you request its deletion. Additionally, there may be limits to the amount of information we can practically provide upon request. For information about how long personal information is retained in the normal course of business, see the “Retention of Personal Information” section below.

If you are an end user, you should contact the eGlobalfares customer with whom you do business to make any requests relating to your personal information. eGlobalfares will process such personal information in accordance with any agreement that governs our relationship with the particular customer.

Sharing of Personal Information

eGlobalfares may disclose personal information to service providers or third parties for the purposes of operating our business; delivering, improving and customizing our products or services; sending marketing and communications related to our business; payment processing and other legitimate purposes permitted by applicable law; or otherwise with your consent. We use the following types of third parties and service providers:

  • Cloud service and storage providers, to help us operate our business;
  • Email providers;
  • Travel reservation systems, to allow us to process travel requests;
  • Payment processors, to facilitate payment; and
  • Third parties that help us manage internal accounting, finances, payroll, and benefits administration.

There may also be instances when eGlobalfares may need to disclose your personal information to honor a request that you have made or when we believe we are required to do so as a matter of law. For more information, see the section titled “Laws and Legal Rights” below.

In addition, eGlobalfares may share personal information if there is a change in eGlobalfares’ ownership. This situation is detailed in the section titled “Sale of Business,” below.

Security of Personal Information

eGlobalfares has physical, administrative, and technical safeguards in place to help protect the personal information eGlobalfares collects and stores. We will take reasonable and appropriate steps to ensure the safety of your personal information while it is in our custody and control. Payment information processed by eGlobalfares is handled according to PCI DSS.

Retention of Personal Information

eGlobalfares will retain your personal information as needed to fulfill the purposes for which it was collected.  Because certain personal information is required to use our Information Services, we retain that personal information as long as you are an eGlobalfares customer. We may retain and use your personal information after you have canceled your account as necessary to comply with our legal obligations, resolve disputes, protect our assets, and enforce our agreements. As to end user personal information we retain such information for 24 months to fulfill requirements of our customer.

Cookies

We do not use cookies on our website.

Laws and Legal Rights

We may disclose your information (including personal information) if we believe in good faith that we are required to do so in order to comply with an applicable statute, regulation, rule or law, a subpoena, a search warrant, a court or regulatory order, or other valid legal process. We may disclose personal information in special circumstances when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be violating our terms of service, to detect fraud, or to protect the safety and/or security of our users, the eGlobalfares website, or the general public.

We also may be required to disclose an individual’s personal information in response to a lawful request by public authorities, including to meet national security or law enforcement requirements.

Sale of Business

We reserve the right to transfer information to a third party in the event of a sale, merger, dissolution or other transfer of all or substantially all of the assets of eGlobalfares, or that portion of eGlobalfares to which the Information Services relate, or in the event that we discontinue our business or file a petition or have filed against us a petition in bankruptcy, reorganization or similar proceeding, provided that the third party agrees to adhere to the terms of this Privacy Statement.

We may provide you with access to other websites and services. Please be aware that we are not responsible for the privacy practices of any websites or services other than those provided by eGlobalfares. We encourage you to read the privacy policies or statements of each and every such website and service. This Privacy Statement applies solely to information collected by us.

Transfers to Other Countries

eGlobalfares is incorporated in the United States and has employees in the United States and the United Kingdom.  Aside from employee personal data, eGlobalfares hosts all  personal information on servers located in the European Union in recognition of the importance of data privacy.

eGlobalfares’ US and UK-based personnel may need to access personal information located on the EU servers.  A dedicated virtual private network (VPN) is used to gain access to the information stored in the EU.  Please be assured that we are committed to adhering to the principles of the GDPR when transferring your data.

For the purpose of facilitating your requested transactions, or other legitimate purposes, personal information may be transferred to locations throughout the world, wherever our business contacts and your counterparties may be located. This information may be viewed and processed in countries that may not have laws of general applicability regulating the use and transfer of such data. These laws may not provide individuals with protections equal to those enjoyed in their home jurisdiction. To the extent that it may be necessary to further protect personal information, eGlobalfares has put into place data protection agreements and the EU standard contractual clauses.

To the fullest extent allowed by applicable law, by using the Information Services, , you voluntarily consent to the trans-border transfer and hosting of such information.

Supplemental Notice to EU Individuals About Your Rights

If you reside in the European Union, our use of your personal information is governed by the European Union’s General Data Protection Regulation, or “GDPR.” The GDPR grants you particular rights in your personal information, including the right to alter, correct, receive, or delete personal information stored by eGlobalfares at any time, subject to our business interests and any legal requirements we may face. Many of these rights are extended to all of our customers as a courtesy and are detailed in the “Right to Access, Correct, and Restrict Use of Personal Information” section of this statement. This notice supplements the information contained in our general policy (above), and applies only to California residents (“You,” “your” or “consumer”).

Personal Information Collection and Purposes of Use
